Most Mac users know that they can use the built-in Calendar app to keep track of their appointments and events, and a great one feature of the Calendar app is that it can automatically notify you prior to a scheduled event. You can manually adjust the number and timing of event notifications as you create them, but the Calendar app also includes a default notification setting that can be added automatically for all of your events, even those of different types, such as birthdays. The problem is, these default alert settings may not be ideal for every user. Fortunately, you can change these default calendar notification settings. This is how it works.
Access to calendar preferences
To adjust the default settings for Calendar alerts, first launch the Calendar app, which is by default in your dock. If it isn’t there, you can also find it in your Applications folder.Once the Calendar app is up and run, go to Calendar> Preferences from the menus at the top.This opens the Calendar Preferences window. Select the Warnings tab from the top to see the default alert options:
Three types of calendar events
The drop-down menus marked by the red box above represent the default alert time for each of the three event types. The first, “Events”, are standard events, including multi-day events, that have specific start and end times. The second, “All Day Events”, are events, again including multi-day events, that do not have a specific start and end time and are marked with the “All Day Event” checkbox. The third, “Birthdays”, birthdays are automatically added to your calendar from your Contacts app. That means that the default alert setting only affects contacts for which you have added a date in the “Birthday” field. However, if you’ve manually added birthdays to your calendar without using the Contacts app (for example, creating custom all-day events for each birthday), those entries will be affected by the default “Events” or “All Day Events” alert value, depending on how they are made. You don’t have to change your birthday tracking method if you don’t want to, but keep in mind that the ‘Birthdays’ setting won’t do anything for you here if you don’t have birthdays saved in the Contacts app.
Change the default calendar alerts
Now that you understand the three types of calendar events, you can change their default notification setting. Clicking the drop-down menu for each type of event will reveal your choices, which range from an alert that occurs at the exact time an event starts, to two days prior to the event. You can also choose “None” to disable default alerts for a particular event type.After making your default alert settings, find the check box below Only use these standard alerts on this computer. This allows you to decide if your default alerts only apply to your current Mac or if you want to sync them across all of your iCloud devices. To test your new default alerts, close the Calendar Preferences window and create a new appointment in your Calendar app. New events are automatically configured with the default alert time you previously configured.However, keep in mind that these changes are only the default values. Regardless of what you’ve configured, you can always manually change an event’s notification settings when you create or edit it.
Calendar alert notifications
The steps above let you change the timing of Calendar alerts, but what about how those alerts look and work? These options can be accessed separately in the notification settings. Just go to System Preferences> Notifications.Search it from there Calendar entry in the list on the left:Here you can choose what Calendar alerts look like on your Mac and how they work. For example, you can choose a ‘Banner’ style that appears and disappears automatically after a few seconds, or you can choose the ‘Alerts’ style, which only disappears when you click on it intentionally (I like this style best because it helps prevent missing an important Calendar notification when I’m busy or away from my Mac when the banner-style notification pops up. You can also choose whether your Calendar notifications make a sound, show up in Notification Center, or mark your calendar icon with a badge in the Dock. Whatever you choose, make sure it’s something that stands out. Otherwise, all those changes you’ve made to your default Calendar Alert Times are in vain!
